Purpose

Supporting both the PBSA, and High Education field sales teams in day to day administration, maintenance and delivery of central systems, documentation and KPI’s.

Relationships

Reports to the Sales and Marketing Director

External

  • Monitor and review expiring contracts with the sales teams to ensure early engagement, and best placed allocation of resource well in advance of any expiring
  • Act as point of contact for Service Managers to keep updated on customers 
  • Contacting customers to obtain missing information, or answer queries

Outputs

The role is responsible for managing Central Systems, Customer Information, Diary Management, Documentation Support and general administrative tasks.

What Activities

Central Systems

  • Create, and manage sales opportunities within ServiceNow
  • Ensuring key system fields, and related files are completed for all live records including commercial models
  • Monitoring, and follow up of any operational requests such as BOM’s, Circuit Orders and Project delivery
  • Adding of notes to customer records, and opportunities as provided by incoming calls from the fields sales teams


Customers

  • Monitor and review expiring contracts with the sales teams to ensure early engagement, and best placed allocation of resource well in advance of any expiring
  • Act as point of contact for Service Managers to keep updated on customers
  • Contacting customers to obtain missing information, or answer queries


Diary Management

  • Support the sales team with the booking of external meetings including any required travel or overnight stays
  •  Booking of central, or other group OpCo based internal meetings


Documentation Support

  • Creation of a central knowledge bank to support future tender requests including version control
  • Collation of required documents to support active tender requests
  • Completion of Statement of Works where required


General Duties

  • Look for opportunities to reduce admin workload on the field sales team
  • Act as the face, and key point of contact for the Sales team centrally

Inputs

INTERNAL: All internal departments including Sales, Marketing, Service Management, Finance and Project Delivery.

EXTERNAL: Key customer relationships

  • Excellent organisational skills
  • Builds strong relationships & communicate effectively at all levels.
  • Ability to work under pressure and to effectively manage conflicting and changing priorities in a face paced environment.
  • Attention to detail
  • Good Microsoft Excel, and PowerPoint skills 
  • High levels of numeric accuracy, with strong keyboard skills – fast and accurate
  • Approachable and confident person
  • Administration experience
  • Sales background
  • CRM systems experience
